Setting up a truck

Each truck needs three things: its unit online, its tools tagged, and a crew lead signed up for texts. The checklist under Set up in the web app (or the Set up tab in the Android app) shows where each truck stands and what's next.

On a 30-day pilot, we tag the tools and fit the units with you. This page is for adding trucks and tools after that, or doing it yourself.

Before you start

  • Set your Home base in Settings → Company: Where your trucks park at night. Texts call it “the yard”, and each truck gets checked before it leaves it.
  • Owners, admins, and managers can set up trucks. Tagging a box of tools is fastest with the Android app; everything else also works on the web.

1. Add the truck

In Set up, choose Add a truck and give it the name your crews use ("Truck 3"). That name is what texts say.

2. Install its unit

  1. Step 1: Plug it in

    Plug into a 12 V socket that stays on with the engine off. Check: the light stays lit after you turn the key off.
  2. Step 2: Place it

    Set it on the dash or a cab shelf, label up, with nothing metal above it.
  3. Step 3: Enter its serial

    On the web, Set up → Install a truck's unit: pick the truck and type the serial from the unit's label. In the app, scan the label instead.
  4. Step 4: Watch it come online

    The light turns green when it's online. Give it a couple of minutes. The checklist ticks "Powered and online" and then "Knows where it is"; for the second, park with a view of the sky if this takes more than a minute.

Nothing after 2 minutes? Is the light on? Try another socket that stays on with the engine off. Up to 5 minutes is normal indoors. You can also finish later: the checklist keeps watching and ticks when it's online. A unit that says to contact support isn't assigned to your company yet; email us its serial.

3. Tag its tools

Every tool that rides on the truck gets a tag, and goes on that truck's list.

  • With the Android app: open Set up, pick the truck, and hold each tag against the phone to pick it, then choose what the tool is. You can tag a whole box in one go.
  • On the web: on the truck's What rides on page, add each tool with the ID printed on its tag's label (like LG-4D5911).
  • Or let Tally learn it: put tags on the tools, drive a few days, and Tally suggests each truck's list for you to confirm.

Stick, bolt, or zip-tie each tag where it won't get knocked off, and out of the direct spray on wash rigs. Mark each tool portable (gets left-behind texts) or fixed (mounted to the truck; counted, never texted about).

4. Sign up the crew lead

In Settings → Crews (or the setup checklist), add the crew lead's name and make a sign-up link. Show them the QR code or send the link. We don't text anyone you invite. Your crew lead opens the sign-up link, enters their own mobile number, and agrees to texts themselves. The link works once and expires in 7 days.

On the link, they enter their mobile number and a code we text them, tick the box, and tap Sign up for texts. They get a confirmation text straight away. To be sure texts reach them, use the button with their name on it, like Send Carlos a test text (it sends the same confirmation again).

Then set the crew's shift and loadout time in Settings → Crews. The morning check goes out at loadout time, and follow-ups wait for the crew's shift.

Crew leads don't need the app. If you're the crew lead yourself, use It's me in the Android app to sign up your own number.

5. Check it

With the tools on the truck, the truck's count should read the same on both sides, like 13 / 13, and its status All accounted for. A tool that isn't heard is covered in Troubleshooting.

Optional: Settings → Alert rules sets how long to wait before texting (2 minutes), when managers step in (10 minutes), and when a unit counts as offline (10 minutes). The standard settings work for most crews.
