Rented or borrowed tools
Rented a jackhammer for a job until Friday, or borrowed a trailer from another crew? Add it with the day it's due back. It rides its truck's list like any tool, you're reminded before it's due, and it comes off the list only when someone marks it returned.
Adding one
Owners, admins, and managers add one on the web, from Assets or from a truck's page (Change what rides on it). Add rented or borrowed equipment opens one form:
- Rented or borrowed?, then What it is and Number (optional), like Jackhammer and J-003, and what kind of tool it is.
- Rented from (or Borrowed from): the store, or the crew it came from.
- Due back: the date on the contract, from today up to 180 days ahead. A week from today is filled in to start.
- Rides on: the truck it goes out on, or none to keep it in the yard.
- Goes back to (optional): one of your saved places, like the rental store. Left there, nobody is texted, and it waits for you to mark it returned. A new place is named in Settings → Company → Places first.
- Reference (optional) and Note (optional): the contract number, and anything that came with it.
Add it opens the tool's page. It has no tag yet, so it can't be checked and raises no alerts until you tag it like any other tool. A tool you own can't be marked rented later: a rented one is always added as its own tool.
The pill and the tool's page
Wherever the tool is listed (Assets, its truck's list, and its own page) a second pill beside its status says where the rental stands. The status works as it does for any tool: it says whether its truck hears it.
- Rented · due back Fri
- Rented, due back on the day you entered. A tool you borrowed says Borrowed.
- Borrowed · due back tomorrow
- It goes back tomorrow. The reminder for it goes out this evening.
- Due back today
- Today is the day you entered.
- Overdue since Fri
- The day you entered has passed and nobody has marked it returned. It says when it was due, not that it's missing.
- Waiting for pickup
- Someone booked the pickup. Its truck doesn't expect it while it waits.
Assets has a Rented or borrowed filter while any is out.
On the tool's page, a panel titled like Rented from Main Street Rental, due back Fri, Oct 23 says who added it and when ("The date is the one you entered."), where it goes back, the job, the contract or reference, the note, and when a unit last heard it. Owners, admins, and managers have Mark returned, Pickup booked, and Change date there; crew leads see the panel without the buttons. Change date asks When is it due back?, and the reminders follow the new date once you Save date.
While it's out
It's checked like any tool on its truck's list: a left-behind text if the truck leaves without it, the morning check, a short loadout, riding on the wrong truck, and after hours. Texts name it as they name any tool. An alert about it says so under its description, like Rented from Main Street Rental, due back Fri, Oct 23, so whoever goes back for it knows it isn't yours.
Morning Loadout lists what's due: Due back today: Jackhammer #J-003 (Main Street Rental) under its truck's card, and 2 rented or borrowed tools are due back today; 1 is overdue. at the top.
Left where it goes back: Is it returned?
When its truck leaves it at the place it goes back to (the Goes back to you picked), nobody is texted: that's where it should be. Its page asks Left at Main Street Rental at 4:10 PM. Is it returned?, with Mark returned and Not yet. That evening's line says Jackhammer #J-003 is at Main Street Rental, where it goes back., and if it's still there a week later the weekly email asks: Jackhammer #J-003 has been at Main Street Rental, where it goes back, for 7 days. Mark it returned?
It stays quiet only when the truck's position there is precise enough to tell it was at that place. From a rough estimate, like one from cell towers, the usual left-behind alert goes out; if it was dropped off, mark it returned and the alert closes. Left anywhere else, it's a left-behind tool like any other. The place stays quiet only for the tool that goes back there, not for your other tools.
Pickup booked
When the store will collect it from the job, so nobody has to bring it back, choose Pickup booked on its page: Where it's waiting (optional) and Pickup day (optional). From then on its truck doesn't expect it: no left-behind text, morning check, or after-hours watch about it, and its open alerts that say it should be aboard close with Pickup booked at Oak Ridge HOA. Its pill says Waiting for pickup, and its truck's page lists it apart, not counted against the truck: Waiting for pickup at Oak Ridge HOA since Thu. On Morning Loadout the card's footnote says so, like Not expected this morning: 1 left where it goes back, 1 waiting for pickup.
It's still rented until someone marks it returned, and its reminders still go out, with the pickup instead of a nudge to book one (Pickup booked for tomorrow.). If the store didn't come, Not picked up yet puts it back on its truck's watch. One that's waited a week is named in the weekly email.
Reminders
Reminders go by notification and email, never by text. They go to the person who added it and to whoever gets the evening line (managers and admins, or the owners when there are neither), each by their own notification settings. They wait for your quiet hours to end. Nothing is sent once it's marked returned, or while alerts are paused for billing.
- The evening before it's due (Thursday)
- Due back tomorrowDue back tomorrow: Jackhammer #J-003 to Main Street Rental. It's on Truck 2's list. Book the pickup or plan the drop-off.
- The morning it's due (Friday)
- Due back todayDue back today: Jackhammer #J-003 to Main Street Rental. Last heard aboard Truck 2 at 7:42 AM.
- The morning after, if nobody marked it returned (Saturday)
- Still marked outJackhammer #J-003 was due back to Main Street Rental yesterday and is still marked out. Last heard at Oak Ridge HOA yesterday at 4:10 PM.
- Then every week, in the weekly email
- Still marked outStill marked out: Jackhammer #J-003 from Main Street Rental, due back Oct 23.
A tool added on the day it's due gets only the morning-after one. Change its date and the reminders follow it.
Mark returned
Only a person says it's back. A truck leaving it at the store, a phone hearing it nearby, or its date passing doesn't mark it returned. Once it's gone back, open its page and choose Mark returned (owners, admins, and managers), with a note if you like.
It then comes off its truck's list, its tag is freed for the next tool, and its open alerts close with Returned to Main Street Rental. Activity and the tool's history say Jackhammer #J-003 returned to Main Street Rental, said Earl Pruitt., and its page says when it went back against the date you entered.
A return is never a loss. A returned tool isn't on Lost tools and isn't counted in the value lost. If a rented tool really is gone, retire it as Lost or stolen: then it's on Lost tools with Rented from Main Street Rental and the replacement cost you enter, what the store charged.
On Reports
Reports → Rented and borrowed (owners, admins, and managers) lists what's out now, past the date first, with its truck and when it was last heard, and what came back in the last 90 days: how many days late, as entered, and who marked it returned. Rented and borrowed (CSV) downloads the same rows.
In the Android app
For now the Android app shows a rented or borrowed tool as an ordinary tool. Its pill, the panel, and Mark returned come in a later app update. The reminders reach your phone as notifications if you have the app. Until then, add one, change its date, book its pickup, and mark it returned on the web.
What it doesn't do
- It doesn't work out rental charges, late fees, or deposits. Every date is the one you entered.
- A due date is a day, not a time of day.
- It never marks a tool returned by itself. The rental's own lines say when a unit last heard it, never that it's missing; the status beside it works as for any tool.
- Crew leads aren't texted about due dates. They see the panel on the web, and their texts name the tool as usual.
